A broad broker blast and a short personal list do different jobs, and the second only works if it is built from evidence. The agent who lost a bid on a comparable unit six weeks ago is worth more than a hundred cold contacts, because their buyer still exists and is still looking.
Put it to work
- Add the reason and the date to every new agent contact within 24 hours.
- Go back through your last three closings and log every underbidder’s agent.
- Build the 25-name priority list per launch, from tags, not from memory.
- Expire anything older than four quarters at the start of each quarter.
Use this language
The note to a prior underbidder’s agent
You bid on [address] in [month] for your client at around $X. We have something closer to what they wanted: [address], asking $X, [one line on the differentiator — the layout, the light, the outdoor space, the terms].
If they are still looking I can get you in before the first open house on [date]. If they closed on something else, tell me and I will take them off my list for this band.
What to watch
Tag on four fields and nothing else at first: price band, neighborhood or building, property type, and the date of the last relevant interaction. If a record takes longer than fifteen seconds to create it will not get created.
Record why the relationship exists — underbidder on a comparable, active search in the band, closed in the building, building specialist, handles the co-op board well. That reason is what makes the personal note specific enough to get a reply.
Mine your own losses. Every underbidder on a deal you closed is a qualified contact with a documented budget, and most agents never write them down.
Run a broad blast to the full professional list and a hand-written note to the twenty most relevant agents. The two are not substitutes: one produces reach you can measure, the other produces the phone call that turns into a showing.
Review tags quarterly and let them expire. A search from eighteen months ago is not demonstrated demand, and mailing it as though it were is how a list stops working.
