Broker Outreach: Make the Match Obvious in Two Lines

The agent reading your email has four minutes and forty listings. Give them enough to know whether one client fits.

A broker email is not a listing page in a different font. Its job is recognition: who is this for, why now, and what does the agent do next. Everything that does not serve one of those three is taking up the two lines that would have.

Put it to work

  1. Delete every adjective that does not change whether a client fits.
  2. Add one sentence naming the ideal buyer or tenant.
  3. Put notice and occupancy in the body, not in a follow-up.
  4. Set a same-business-day reply standard and hold it.

Use this language

The four-line broker email

[Address], Unit X — $X,XXX,XXX. True two-bedroom, both with windows, 11th floor south with open views. Sponsor unit: no board approval, no interview.

For the buyer who wants a second bedroom that is actually a bedroom and cannot wait four months for a board.

Terms: 10% minimum down, maintenance $X,XXX, assessment $X through [date], subletting permitted after two years. Vacant, immediate.

Reply for the floor plan and the last two closed sales in the line, or take a slot at the broker open Thursday 11–12:30.

What to watch

Put the differentiator in the first two lines, before any adjective: a real second bedroom with a window, 400 square feet of private outdoor space, sponsor unit with no board approval, or a concession that changes the net effective number.

Name the terms that decide whether an agent can even bring their client: financing minimum, board approval or sponsor sale, sublet policy, pet policy, and whether it is occupied.

State showing logistics plainly — notice required, occupancy, and any restricted windows. “Tenant in place, 24 hours notice, weekday showings after 5pm” saves four emails.

Ask for a specific reply: the floor plan, the buyer’s timing, or a slot at Thursday’s broker open. “Learn more” gives the reader nothing to act on.

Answer agent questions the same business day. The fastest reply in a tight market is a competitive advantage that costs nothing and is the one most listing agents give away.
